Professional Design Practice : Invoicing Clients

Invoices 

"In.voice : noun : a list of goods sent or services provided, with the statement of the sum due for these ; a bill."

At the same point each month an employed person receives a wage packet from the payroll department and their bank account can then be credited with their salary. With this knowledge it is possible to plan finances around this fixed point. Although a freelancer must send invoices to his or her clients and then wait to be paid. 

Your invoice's list of services should correspond directly with services agreed to carry out at the beginning of a project brief. In addition good practice would include the original contract offer itemising services you agreed upon with the client. Invoices should include your name or studio name as a freelancer that is themselves and if you haven't already provided the client with bank details these should be included on the invoice. Nothing should be hidden when invoicing clients. A billing template can also prove a useful tool for whenever you may need to bill a client or perhaps a supplier. An example software that does this is 'MacFreelance.'

Unforeseen costs 

Further expenses can include courier or delivery fees etc.  This may be worded in the contract as "The client or commissioning party has to reimburse the commissioned party for all extraneous costs actually incurred."

Deadlines & Client Transgressions 

Late payment is a high concern especially for freelance designers who may not have a lot of jobs at a certain time. Although freelancers are unlikely to take legal action action due to obvious finance and time based reasons. Exceeding payment deadlines can put a strain on a small freelance business, not to mention the strain based on the client/designer relationship. 

Summary

Those who send out invoices include the ability to charge higher design fees and a sympathetic attitude from government tax departments with regard to annual expenditure and investments.
